JOB DESCRIPTION

The Personal Assistant (PA) to Director plays a crucial role in supporting the director in her daily tasks and responsibilities.

The Personal Assistant to the Director provides administrative and secretarial support to the director, helping her manage her schedule, communications, and various tasks to ensure efficient and smooth operations.

Key Responsibilities:

* Calendar Management: Schedule and coordinate appointments, meetings, and events for the director. Maintain and update the director's calendar to ensure effective time management.

* Communication & Social Media Management: Manage and screen phone calls, emails, and other correspondence. Draft and proofread emails, memos, reports, and documents on behalf of the director.

Daily update of Director's social media.

* Meeting Support: Prepare agendas, meeting materials, and presentations for meetings.
Attend meetings with the director, take minutes, and follow up on action items.

* Document Management: Organize and maintain electronic and physical files, ensuring easy retrieval of documents. Assist in document preparation, formatting, and editing.

* Task Coordination: Coordinate and prioritize tasks and projects on behalf of the director.
Liaise with other staff members and departments to facilitate communication and project completion.

* Confidentiality: Handle sensitive and confidential information with discretion and professionalism.

* Office Management: Oversee the director's office, ensuring it is organized and well-maintained. Order and manage office supplies and equipment as needed.

* Special Projects: Assist the director in special projects, research, and presentations as required.

Qualifications:

  • A bachelor's degree or equivalent experience in a related field.
  • Proven experience as an executive assistant or personal assistant.
  • Excellent organizational, time management, and multitasking skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in office software (e.g., Microsoft Office Suite).
  • Discretion and the ability to handle confidential information.
  • Attention to detail and a high level of accuracy.
  • Flexibility and adaptability to changing priorities.

Job Types: Full-time, Permanent

Salary: RM2,500.00 - RM3,800.00 per month
